Donor Services Associate

Position Description

We are currently searching for a Donor Services Associate with a passion for client service and data management who can provide top notch administrative support to the Philanthropy Team, respond to donor inquiries and needs and maintain the accuracy of our donor database. A member of the Philanthropy Team, this position will primarily support the VP of Donor Services by providing administrative support, responding to routine donor needs and questions, managing the donor database, and processing grants. The ideal candidate will have excellent customer service skills, strong data management and organizational skills, be a proficient written and oral communicator, and have the capacity to think critically and respond to unanticipated challenges.  We seek a problem solver who enjoys improving processes for greater effectiveness and accuracy.


Principle Duties and Responsibilities

  • Provide frontline services to donors including technology support, special gift requests, and individualized donor reporting
  • Provide administrative support for the Philanthropy Team in identifying and drafting giving opportunities that align with donor interests
  • Achieve proficiency in CRM software with ability to manage digital profiles, record donor communications, coordinate donor moves management, and design and pull reports for Board and senior team
  • Work with Finance Team to enter and process all donor recommended grants and associated letters and manage recurring grants; Process all donor recommended grants, including: tracking requests from multiple sources, management of recurring grants, data entry, preparation and distribution of grant award letters and subsequent donor correspondence.
  • Assist the VP of Donor Services Team in development and implementation of donor education events, briefings and tools, including identifying and booking locations, developing targeted invite lists, and providing logistical support
  • Support the VP of Donor Services in scheduling and preparing for donor meetings and new fundholder orientations; Support the design and implementation of donor site visits and nonprofit recommendations
  • Assist the VP of Donor Services in organizing and managing the Foundation’s portfolio of Agency and Field of Interest Funds (i.e. coordinating annual meetings, taking meeting minutes, updating advisors, answering questions related to funds, etc.)

  • Demonstrated administrative and customer service experience of 3-5 years
  • High proficiency in Microsoft Office including Word, Excel, PowerPoint Publisher; Experience with databases and CRM software programs

Salary Range $35,000-$45,000
